Outlook not receiving email? Separate mailbox delivery from app sync

First decide whether the mailbox received the message at all. If current mail appears in Outlook on the web but not in the installed app, the delivery path is working and the problem is more likely local sync, connection, profile, version, or device state. If the message is absent from webmail too, investigate storage, junk, rules, sender errors, service health, or authorized mail-flow controls before rebuilding Outlook.

Common symptoms

  • New mail appears on a phone or in Outlook on the web, but not in Outlook on one Windows PC or Mac.
  • Outlook shows Disconnected, Working Offline, Trying to connect, a password prompt, a sync warning, or an error code.
  • Sending works but receiving does not, receiving works but messages stay in the Outbox, or only one account in Outlook has stopped updating.
  • Only one sender, domain, shared mailbox, folder, or time range seems to be missing while other messages arrive normally.
  • Several users stopped receiving mail after a Microsoft 365, licensing, domain, DNS, forwarding, filter, connector, or security-policy change.

Quick checks

  • Record the exact product before following instructions: new Outlook for Windows, classic Outlook, Outlook on the web, Outlook.com, Outlook for Mac, or the mobile app. Microsoft documents different steps for each.
  • Define the scope: one message, one sender, one folder, one account, one device, one user, or the whole business. Also note whether sending, receiving, search, calendar, or every connection is affected.
  • Using the provider's official address typed directly into the browser, check whether current mail appears in webmail. Do not sign in through a link in a message or search advertisement.
  • Confirm normal internet access in a browser, then record Outlook's connection status and the exact error, non-delivery report, time, sender, and recipient. Keep message contents and private attachments out of the support request.
  • Check Junk, Other or Focused Inbox, the current sort and filter, blocked senders, forwarding, and visible inbox rules without deleting or changing them during diagnosis.
  • Check mailbox and Microsoft cloud storage. Microsoft warns that a full account can stop sending and receiving; mail rejected while full may need to be resent after space is restored.
  • If webmail works but one installed Outlook app does not, use Microsoft's current troubleshooter or supported profile-repair path only after documenting the Outlook version, account type, local archives, shared mailboxes, add-ins, and backup needs.
  • If webmail is also missing mail for a Microsoft 365 business account, an authorized administrator can review service health, licensing, quarantine, delivery diagnostics, and message trace. Do not make DNS, connector, transport-rule, or security-policy changes by guesswork.
  • Stop ordinary troubleshooting if you find unexpected forwarding, unfamiliar rules or sign-ins, changed MFA or recovery methods, messages you did not send, or payment fraud. Use the business-email-compromise response path instead.
  • Do not automatically remove and re-add the account, create or delete a profile, delete rules, purge mail, clear app data, repair a data file, reinstall Office, disable security, or change MX, SPF, DKIM, or DMARC. Get explicit approval, preserve necessary local-only data, and keep a rollback path.

When to call

  • Choose attended remote help when the internet works, the affected computer can open the approved support session, the customer remains present, and webmail or another device provides a safe comparison.
  • Choose on-site help when the computer will not boot, the site has no usable internet, several devices or office systems are involved, or printers, scanners, routers, wiring, local archives, and the daily workflow must be tested together.
  • Use the authorized Microsoft 365 administrator or provider when the issue affects multiple users, licensing, quarantine, service health, mail flow, connectors, domain ownership, DNS, retention, compliance, or message trace.
  • Use the incident-response path—not a routine Outlook repair—when account compromise, fraudulent mail, unexpected forwarding, customer-data exposure, or money in motion is suspected.

Why does Outlook on the web have new mail when the desktop app does not?

That is useful evidence that the mailbox and server-delivery path are working. The installed app may be offline, disconnected, stuck syncing, signed into the wrong account, affected by its profile or add-ins, or using instructions meant for a different Outlook version. Attended remote support often works well here when the internet works and the customer stays present.

Should I delete and re-add my Outlook account or create a new profile?

Not as the first test. Account removal or profile replacement can hide the original evidence and may strand local-only archives, autocomplete data, signatures, shared mailboxes, or settings. First document the version, account type, local data, current error, webmail result, and recovery path; then use Microsoft's supported repair or profile process with approval.

Why am I missing email from only one person?

Check Junk, Other or Focused Inbox, sorting, filters, blocked senders, forwarding, and visible rules. Ask the sender whether they received a non-delivery report and preserve its exact code. For Microsoft 365 business mail, an authorized administrator can use delivery diagnostics or message trace to see whether the service received, rejected, deferred, quarantined, or delivered that message.

Can Outlook not receiving email be fixed remotely?

Often, when the computer has reliable internet, the customer can open an approved attended session, and the issue is limited to one Outlook app, account, or user. On-site service is usually better when there is no internet, the computer will not start, several devices or network systems are involved, or the office workflow must be observed physically.
